Quote wording that protects you.

Plain, professional wording you can paste into your next quote. Start with the free checklist, then use the clauses below.

The 6 things every contractor quote needsFree checklist
  1. 1. Scope of work, clearly defined

List exactly what's included, area by area. The client knows what they're paying for, and you have a clear reference if something is disputed later.

  2. 2. Exclusions, stated upfront

Write down what's not included. Without this, every grey area becomes your problem and your cost once work starts.

  3. 3. Materials and labour, itemised

Show materials and labour separately. It reads as more professional and protects you if quantities or scope change.

  4. 4. Payment terms, agreed before work

State deposit, balance and timing, for example 50% on order and the balance on completion. Agree it before you start.

  5. 5. Quote validity, to protect your price

Add a validity period of 14 to 30 days. Material costs and exchange rates move, and you shouldn't have to honour an old price.

  6. 6. Site and substrate assumptions

If your price assumes normal access, a sound substrate or no hidden damage, say so. Unstated assumptions become unpaid extra work.

Free sample clauses

Three clauses to add to every quote.

Replace anything in [brackets] for each job. These protect you on process and responsibility. Technical figures such as coverage rates and moisture limits must come from the manufacturer's data sheet.

Quote validity

This quotation is valid for [30] days from the date of issue. After this period, prices are subject to review due to changes in material costs, exchange rates or site conditions.

Variations and remeasurement

Any change to the scope, quantities, specification or site conditions described in this quotation will be treated as a variation and quoted separately before work proceeds. Where quantities are based on estimated measurements, the final invoice will be based on measurement of the completed work.

Substrate condition

This quotation assumes the substrate is sound, adequately cured, free of contamination and within the moisture limits set by the manufacturer for the proposed system. Any remedial work, additional preparation or moisture mitigation required will be quoted separately as a variation.
